CareDocs & RoundCare: Your staff data, finally in one place

CareDocs DSCR and RoundCare, working as one

It’s 11pm and someone’s just started as a new senior carer. You’ve added them to your HR system for her contract, her right-to-work checks, and then her relevant rota slot. Now you open care recording system and add them again, by hand, from memory, because the two systems don’t talk.

Three weeks later a Disclosure and Barring Service (DBS) certificate lapses. Nobody catches it until an family member, or worse, an inspector, asks the question first.

It’s a symptom of running two systems that were never introduced to each other. If you’re an owner, a director, a registered manager, or an assistant manager who ends up covering the rota, you’ll probably know some version of this already.

Why this keeps happening

Most care providers end up with HR in one place, rotas in another, and care records somewhere else again. Each system does its own job perfectly well. The trouble starts at the edges, where one system needs to know what another one already knows and has no way of finding out.

That’s where double entry comes from. It’s also where a registered manager ends up finding out about a lapsed DBS after the fact, rather than before. CQC is running more inspections than it was a year ago, and expects a steady trail of evidence rather than a folder assembled the night before a visit. That makes the gap between systems harder to shrug off than it used to be.

Why patching it together never quite works

Most providers try to solve this eventually. Some move to an all-in-one platform that promises to handle HR, rotas, care planning and compliance under a single roof, and end up with something mediocre at four jobs rather than genuinely good at one. Others keep separate specialist tools and just live with the gaps, re-entering the same starter twice and hoping nothing slips through in the meantime.

The setups that actually hold up pair two specialists, each genuinely good at their own job, that are properly connected. That’s the thinking behind the CareDocs DSCR and RoundCare integration.

What RoundCare actually does

RoundCare runs the business side of a care home. Staff and HR management, rotas and scheduling, recruitment, eLearning and compliance tracking, appraisals. If you’re managing people across spreadsheets and separate logins, RoundCare is built to bring that into one place.

What CareDocs DSCR handles

CareDocs DSCR is built for one thing: the day-to-day digital care record. Assessments, care plans, daily records of care, observations, all structured and easily accessible. It was never built to run your HR function, and it doesn’t try to.

What the integration does

Connect the two and your staff and rota information stays aligned with your care records automatically. New starters and updates you make in RoundCare flow through to CareDocs, so the person recording care in your DSCR is always matched correctly to the right staff record. You stop typing the same person into two systems.

What it syncs, and what it doesn't

This integration syncs staff and rota data. Your training records, your compliance tracking, your appraisals all stay in RoundCare, untouched. Each system carries on doing what it’s good at, and the boundary between them stays exactly where it should.

How it works

RoundCare is the master record for staff and rota data. You make changes there, and they flow into CareDocs on a regular sync cycle. One place to manage staff and rotas. No situation where the two systems have quietly drifted apart and nobody noticed until it mattered.

What you'll see once it's connected

Staff records updating themselves in CareDocs, without you touching a keyboard. An integration log showing you the status of every data sync, so you can see it’s working rather than hoping it is. And a history of anything that didn’t match, most of which is solved in a minute or two by linking the right staff record.

That log is what lets you actually check the sync worked.

Getting it connected

Already on CareDocs DSCR? Setting up RoundCare takes a few minutes through the Admin Panel. We’ve put step by step instructions in the community here.

Not on DSCR yet and want to see how the two work together before you commit to anything? A short demo tailored to your service is the quickest way to see it. Or if you’d rather see it alongside other providers asking the same questions, register for one of our webinars.

Two systems that are good at their own job, properly connected. That’s what gives you less double entry, and more of your team’s time back for the people they’re actually there for.
