How CareDocs Works

CareDocs is supplied on dedicated Dell computers, with customers having the option of having either desktop or laptop computers, the cost of which is included within the subscription. Laptops are the usual choice as they are easily transportable from resident to resident when making assessments and other system entries, although Homes with over roughly 25 residents will need two systems networked together.
Unlike many management systems, where modules are sold separately, CareDocs is a complete, one-price package. It comes complete with every function installed and ready for use, and with a complete one-touch tutorial to make using the system simple even with no previous experience of computers.
Security is paramount, with each member of staff being allocated a unique user name and password, allowing Management to specify levels of access and, in addition, what information individual members of staff can both view and change. Subscribers receive regular updates to the system, all of which are free of charge.

Home StatusThe Home Status page allows management to see everything that may concern them on a single page. It pulls together information from every other part of the system, from weight monitoring to fridge temperatures and staff training, using a traffic light system to highlight anything abnormal. |
Care Home ResidentsThe Residents heading allows residents to be filtered by Name, Location or Placement. Once the resident in question is identified, each has a unique ‘file’ detailing their name, personal details, contacts, a diary, full details and records of medications; body maps; weight, respiration, glucose levels, blood pressure, heart rate, temperature and epileptic fit recording with automatically generated graphs, a likes and dislikes sheet and, potentially, the most important area of the CareDocs system, the Resident’s Assessment and Care Planning area. |

Care Home StaffThe Staff section has a Message Centre allowing Management (and Staff) to communicate with each other either by broadcast or on an individual basis. There’s a section for individual and corporate training records and matrices, Time Sheets, Personal Records and a ‘Supervisions’ section. |
The Care HomeThe Home’s Diary gives access to both a Diary page used for both general events in the Home and for events involving a group of Residents. The Group Event Diary allows personalized details of individual residents participation in group events to be logged on to their individual Daily Occurrence Diaries without the need to replicate information, saving considerable time and effort. |

Printing SectionThe Printing Section allows you to run copies of Care Plans and other individual items. It also enables the production of a variety of reports such as Care Dependency and Assessment statistics. |
And the cost ?
CareDocs is supplied on a contract basis, the minimum contract period being 12 months. The cost is £150 per month for your first laptop or desktop computer and £75 per month for each additional CareDocs system to be used at your home, with systems being networked together. Prices are excluding VAT.
Computers will be replaced free of charge every three years. Should there be faults with your hardware, it will be repaired or replaced as needed, with a replacement computer being dispatched to you within 24 hours. Also supplied is a digital camera for photographing residents, and memory sticks for backup. Full on-site training is supplied free of charge (within reason) as required, and we are able to supply the Care Plan folders used in our demonstrations.
